External Job Posting – Building Manager (Victoria)

Reporting to the Strata Council, the successful applicant will be familiar with basic building systems and ideally have worked as a building manager within a condominium setting. The successful applicant will possess general building maintenance skills, have excellent organizational, communication and teamwork skills.  The applicant must be flexible and work in a friendly approachable manner.

This is a permanent part-time contractor position with a work week from Monday to Friday (5 hours per day), with weekends off. While the Strata Corporation will pay for the applicant’s Worksafe BC coverage, the applicant will be responsible to provide evidence of insurance liability coverage.

Duties and Responsibilities

  • Be fully cognizant of the Strata's adopted rules, regulations, and bylaws
  • Understand the roles and duties of the Strata's Property Management representative and Strata Council members.
  • Be the Strata's primary point of contact for the Strata's other contractors.
  • Perform routine interior and exterior safety inspections of the common property.
  • Work in a safe manner and report any unsafe conditions to the Strata's Property Management representative and the Strata Council.
  • Be completely familiar with the Strata's safety, emergency and fire system in the building.
  • Perform minor building repairs and restorations as needed.
  • Maintain oversight of all Strata equipment and assets in their safe and secure locations.
  • Ensure common lobby area is uncluttered and safe for all residents and visitors.
  • Check and replace defective interior and exterior lighting of the complex, waterfall and pond features, flower beds, trees and roof.
  • Monitor the use of the complex's visitor parking lot.
  • Monitor and maintain the waste disposal room.
  • Check that the video surveillance system and building access control systems are functioning and recording activities. Ensure that systems haven't been affected by recent vendor activity (i.e. cameras misaligned in elevators after elevator maintenance)
  • Clean and maintain the waterfall and pond features as necessary. Check the roof for water pooling after intensive rain showers and remediate as needed;
  • Spot clean hallway carpets and amenities room, as needed;
  • Inspect and ensure the complex's service rooms are secured, clean, and free of debris;
  • Inspect all of the complex's Common Property areas for debris and any service related issues;
  • Monitor and report as needed all of the complex's parking areas for storage infractions / bylaw and fire code issues, oil spills/leaks, etc.;
  • Monitor and report to Strata all items in the complex's storage rooms not secured within assigned lockers;
  • Post notices in elevators and bulletin board as requested by Strata Council or Property Management representative;
  • Maintain sidewalks by removing snow and ice from sidewalks fronting the Strata's property by 10:00 a.m. each day when needed in compliance with city bylaw;
  • Cut lawn(s), weed common gardens, weed and trim shrubs as needed;
  • Report problems to the Strata's Property Management representative as soon as possible and for doing whatever is necessary to minimize damage to common property (shutting down water system, entering a suite, etc.) in the event of a leak, fire, or serious mechanical/structural maintenance issue. Specifically, report any incident or issue that might be covered by insurance to the Strata's Property Management representative;
  • Upon notification of a Form K (new resident) received by Property Management representative:

    • Pad the complex's elevator prior to its use for all residents' move-in, move­ out, and delivery activities and take down and store pads at the end of the activity;
    • Monitor and facilitate all move-in and move-out activities (Form K) by the Strata's residents and report to the Strata's Property Management representative and Strata Council to initiate applicable fees. All payments are to be collected by the Strata's Property Management representative.
  • Access Device Management:

    • Manage building access devices with contractors and tradespeople and maintain a current and complete directory;
    • Re-assign devices to new residents when directed by Property Management representative;
    • Direct residents to Property Management representative when replacement or additional devices are required.
  • Maintain a current and updated resident key system, security safe key and deposit inventory, including bicycle room management, and take appropriate steps to ensure other contractors/tradespeople return any master keys provided to them;
  • Liaise with Police as needed for any security - illegal activity on the Strata's property and comply with any video copy requests - Advise the Strata of any such requests.
  • Advise residents to put noise complaints, security issues and other concerns in writing to the Strata
  • Monitor activities being conducted on the Strata's property and report any potential bylaw infractions to the Strata adopted by the Strata Council.
  • Perform monthly testing of the emergency generator and alarm system

Experience & Qualifications

  • Experience in building maintenance and management is essential
  • Excellent Communication Skills
  • Excellent organization skills
  • Ability to manage people and situations effectively and diplomatically
  • Must possess initiative and exhibit a strong sense of pride and ownership in fulfillment of duties and responsibilities

External Job Posting – Front Desk Assistant (Victoria)

Do you love helping people and working with a team to create a positive, welcoming environment?  Join the front desk team at a luxury condo building in downtown Victoria as a part-time front desk assistant! Team members are the face of the building for all residents and visitors and work together to attend to residents’ needs within the building. In this role you exude competency and care and work to ensure the smooth operation of various aspects of the community.

As the ideal candidate, you make life easier for the people around you. You enjoy coordinating onsite activities and keeping communication flowing effectively. You assist residents with various requests as well as keep residents informed regarding events and information relating to the building. You are highly trustworthy, consistently demonstrating integrity, discretion and patience, and you enjoy using your organizational skills to provide excellent service. You meet challenges and emergencies with a calm and collected demeanour and diplomatically seek solutions that will allow the best outcome for all involved. In this position, you will interact with a diverse group of people including owners, residents, prospective purchasers, other front desk staff, contractors, the strata council and the property management company.

Duties & Responsibilities

  • Greet everyone entering and exiting the building
  • Supply owners, residents and guests with directions and information regarding building amenities, services, hours of operation, plus local areas of interest
  • Provide information regarding, coordinate and monitor move-in and move-out processes
  • Provide new owners/residents with an orientation tour of the ground floor amenities and inform them of various building items of note
  • Manage reservations for guest suite and the conference room
  • Receive and process payments in accordance with applicable policies
  • Handle couriers and contact residents
  • Assist with residents’ requests as applicable
  • Coordinate on-site activities
  • Be completely familiar with the strata corporation’s policies, safety, emergency and fire system in the building
  • Perform day to day administrative tasks
  • Complete light janitorial duties as required
  • Maintain composure and discretion
  • Ensure that confidential and sensitive information is not disclosed
  • Other duties as assigned

Experience & Qualifications

Job Details:         This is a permanent, part-time position (20-25 hours per week with the possibility of additional hours). The desk is staffed 7 days a week from 9am – 9pm. Shifts run from 9am to 3pm and from 3pm to 9pm. $15.00/hour
