Job Posting – Strata Administration (Victoria)

This Strata Administration role overlaps with other positions in the organization while also incorporating some unique facets, as this position will work closely with our VP of Finance, assisting him both with building oriented items as well as other projects that may arise. This position also works on specific projects such as managing annual backflow testing and irrigation start up and shut down.

As the ideal candidate, you have top notch organizational skills and are a master at making sure things get done properly and on time by supporting the team with your unique talents. You thrive when providing structure and consistency for the people you work with, and you find it rewarding to create order out of chaos. You use checklists to keep yourself organized, and you like following consistent processes. You are confident, reliable, motivated to perform and take pride in completing tasks accurately and efficiently. This role functions in a team environment where different positions work together to provide cohesive services to our clients. The Strata Administration role is responsible for ensuring the accuracy and timely delivery of documentation of the strata corporation. This position works closely with a variety of roles, including the VP of Finance and the President, property managers and strata operations coordinators. The main client focus of the Strata Administration position is the strata councils of the buildings in their portfolio.

Duties & Responsibilities

  • Creating, editing, compiling and proofreading of documents including correspondence, meeting minutes, notices of meetings and manuals
  • Managing of administrative processes including tracking completion dates and following precise procedures
  • Preparing Strata Property Act forms
  • Maintaining and updating documents on a variety of websites
  • Updating and using the property management database
  • Assisting with answering general office phone calls and transferring them to the appropriate person
  • Communicating with clients by phone, email or in person
  • Participating in daily or weekly touchpoints with team members regarding portfolio and upcoming key items
  • Filing of documents
  • Following office and company protocol regarding services
  • Positively representing the company in the community
  • Handling confidential documents with complete discretion
  • Other duties as required

Experience & Qualifications

  • Minimum 2 years of office experience
  • Excellent grammar and punctuation skills
  • Excellent working knowledge of MS Office (Word, Outlook, Excel)
  • Good working knowledge of office machines (i.e. – photocopiers, fax machines)
  • Typing speed of 50+ wpm
  • Ability to manage own schedule and prioritize effectively
  • Ability to work effectively as part of a team
  • Ability to manage people and situations gracefully

Job Posting – Experienced Strata Manager (Nanaimo)

We have an exciting opportunity for a licensed strata manager to join our mid-island team. As the ideal candidate, you have experience working as a licensed strata manager and have dealt with a diverse portfolio of strata corporations. Core Duties & Responsibilities:

  • Handles all business operations on behalf of the strata corporation
  • Arranges services for the strata corporation and enters into contracts for the maintenance and repairs of the strata corporation’s common property
  • Schedules maintenance and manages building maintenance projects
  • Regularly attends building sites to ensure quality of cleaning, maintenance, etc
  • Obtains quotes and confirms jobs with trades people; Checks invoices for work completed
  • Monitors strata fee payments and arrears and approves strata corporation invoices
  • Maintains and permits access to strata corporation records in accordance with the Strata Property Act
  • Assists in preparation of documents on behalf of the strata corporation such as “Information Certificates” (Form B) and “Certificates of Payment” (Form F)
  • Attends strata council and general meetings and prepares the minutes of all meetings
  • Advises the strata council in regard to the Strata Property Act, Residential Tenancy Act, strata corporation bylaws and other relevant matters
  • Regularly reviews monthly financial reports and reports to the strata council
  • Prepares annual budgets and financial statements
  • Liaises with clients and collegues and communicates in respectful and timely manner
  • Prepares correspondence on behalf of the strata council
  • Participates in emergency on-call rotation (5 – 6 weeks per year)
  • Encourages the development of a highly competent and well trained team by identifying personal training and development needs

During the first several months in the role, you will complete the licensing course through UBC Sauder School of Business, while also learning in a hands-on environment with your peers.
